As a Transaction Coordinator, you will provide Contract-To-Close & Conveyancing Support in Greater Philadelphia, Delaware, and New Jersey markets. Your duties include overseeing all administrative details throughout the contract process, freeing agents to focus on building client relationships and advancing their business. Our Transaction team members are experienced in real estate and serve as the first point of contact for all parties involved, ensuring a smooth path to settlement. You will effectively communicate between seller and/or buyer agents, title companies, and third parties, preparing and monitoring the requests and receipts of all certifications and other documents needed for a successful closing. From document preparation to deadline tracking to requesting online testimonials, your goal is to make life easier for agents and clients every step of the way. You will also work hand in hand with local lenders, co-brokers, and attorneys, bringing extensive experience and collaboration to each contract you process. Please Note - This position will require you to be in the local office 2x per month. What You Will Do Coordinate real estate listings and transactions. Document tracking for a large volume of real estate transactions from contract to close, ensuring compliance with brokerage and legal requirements. Communicate with clients, agents, lenders, attorneys, and inspectors. Digest detailed contracts and make informed decisions based on content, focusing on details. Manage and track contract deadlines to ensure all timelines are met. Recruit new agents to the program and retain existing agent clients. Ensure titles are clear for settlement. Order tax liens, payoffs, fee sheets, and other title related tasks. Pay careful attention to file review requirements. Accountable for specialized functions with transaction conveyancing. Drive agent participation in full-service conveyancing and contract-to-close offering. Provide compliance and full-service support and serve as central point of contact for agents during the conveyancing/CTC process. Communicate effectively with agents and outside parties and provide excellent customer service. Act as the lead point of contact for high-touch agents. What We Are Looking For B.A. or B.S. degree preferred. 3+ years of real estate experience preferred (Conveyancing & Contract to Close). Strong written and verbal communication and presentation skills. Real estate license. Title licensure or title experience a plus. Customer service-oriented personality and positive attitude. Impeccable attention to detail and problem-solving skills. In-depth knowledge of real estate transaction coordination from listing to close. Strong knowledge of the real estate laws in PA/DE/NJ. In-depth knowledge of real estate transaction coordination and compliance — DocuSign, Google Suite, experience with tcDocs a plus. Experience with best practices in real estate transactions.
