Scheduling & Client Support Coordinator (Entry-Level)

Location: Onsite Mon-Fri 8:30am-5pm

Experience Level: Entry Level

Are you highly organized, customer-focused, and looking to grow your career in a professional healthcare or medical services environment? We’re looking for a Scheduling & Client Support Coordinator to support exam coordination, client communication, and administrative operations. This is a great opportunity for someone with strong customer service skills who enjoys multitasking and working in a fast-paced setting.

What You’ll Do

• Schedule and coordinate medical examinations using internal systems
• Communicate with physicians’ offices to confirm appointment dates and times
• Serve as a point of contact for clients regarding:
  • Appointment scheduling and changes
  • Physician credentials (CVs)
  • No-shows, cancellations, and reschedules
  • Receipt of medical records and images
• Confirm receipt of records for review referrals
• Prepare and send daily exam notification letters
• Respond to inquiries regarding report status and general information
• Coordinate ancillary services such as interpreters, chaperones, transportation, or exam site rentals when needed
• Arrange lodging and/or transportation for out-of-town examinees
• Submit invoices or billing issues to Accounting and ensure required pre-payments are received
• Provide administrative and operational support to other offices as needed
• Process mail, deliveries, and shipments
• Participate in training and educational activities as required

✅ What We’re Looking For

Required Qualifications

• High school diploma or equivalent
• At least 1 year of customer service experience (retail, call center, or similar)
• Strong computer skills with proficiency in:
  • Microsoft Office
  • Excel
  • Data entry
• Excellent verbal and written communication skills

Preferred / Nice to Have

• Experience working in a medical office or healthcare-related environment
• Ability to manage multiple phone lines in a high-volume setting
• Typing speed of 35 WPM or higher
• Strong attention to detail with a focus on accuracy and quality
• Ability to work independently, prioritize tasks, and manage time effectively
• Comfortable working under pressure and handling competing priorities
• Commitment to maintaining confidentiality
• Positive, team-oriented mindset
• Adaptability to change, delays, or unexpected situations

Job Type & Location

This is a Contract to Hire position based out of Rockford, IL.

Pay and Benefits

The pay range for this position is $17.25 - $17.25/hr.
